About the Role
We are seeking a highly organised and technically capable Project Coordinator to join our Systems Integration Team.
In this role, you will coordinate the end-to-end delivery of software and system-integration projects. You will manage project schedules, documentation, stakeholder communication, task allocation and implementation activities to help ensure projects are delivered on time and to the required standard.
Reporting to the Operations Manager and working closely with technical team members, clients and external vendors, you will play a key role in maintaining project visibility, resolving delivery issues and supporting successful system implementations.
Key Responsibilities

• Coordinate system-integration projects from initial planning through implementation, testing, go-live and completion.
• Develop and maintain project plans, schedules, milestones, action registers and task-tracking systems.
• Coordinate activities between clients, internal technical teams, software vendors and other stakeholders.
• Assist with gathering, documenting and confirming business and technical requirements.
• Monitor project progress, dependencies, risks, issues and change requests, escalating matters where required.
• Organise project meetings and prepare agendas, minutes, action items and progress reports.
• Provide clear and timely project updates to management, clients and delivery teams.
• Coordinate customer onboarding, system configuration, user acceptance testing, training and implementation activities.
• Allocate and monitor support and implementation tasks to ensure they are assigned to the appropriate team members.
• Maintain accurate project records, technical documentation and time entries.
• Identify recurring delivery issues and recommend improvements to systems, workflows and internal processes.
• Support the development and standardisation of project-management procedures, templates and best practices.
• Help ensure each project is delivered within the agreed scope, timeframe and quality requirements.

About You

• Demonstrated experience in project coordination, project administration or implementation support, preferably within IT, SaaS, software, BPO, finance or systems integration.
• Strong organisational skills and the ability to manage multiple projects, deadlines and competing priorities.
• Experience coordinating cross-functional teams, clients, technical specialists and external vendors.
• Sound understanding of software implementation, customer onboarding or system-integration processes.
• Strong written and verbal communication skills, with the ability to explain project requirements and issues clearly.
• Experience preparing project plans, progress reports, meeting records and implementation documentation.
• Strong attention to detail and a disciplined approach to record-keeping and follow-up.
• Practical problem-solving skills and the ability to identify risks before they affect project delivery.
• Confidence using project-management, ticketing, CRM or workflow-management platforms.
• Relevant tertiary qualifications in project management, information systems, business, accounting or a related discipline.
• A postgraduate qualification in project management or equivalent professional training will be highly regarded.
