Salary: $77,000 – $80,000 + Superannuation

The Opportunity
We are currently seeking a meticulous Contract Administrator to join our busy team. This is a vital role focused on the backbone of our business: the administration, control, and accuracy of contractual, insurer, client, and operational documentation across our operations.
You will support the business by ensuring job authorities, service records, quotes, rates, insurer documentation, and related compliance records are complete, accurate, and up to date. You will work closely with our dispatch team, depot staff, and external partners to ensure smooth, compliant operations from the moment a job is opened to the moment it is closed.
Key Responsibilities
- Documentation Mastery: Prepare, maintain, and administer service agreements, insurer documentation, customer authorities, rate schedules, and quote records.
- Quality Control: Review quotes, service authorities, rates, and supporting paperwork to ensure 100% accuracy before job allocation, invoicing, or insurer submission.
- Compliance & Tracking: Maintain current and retrievable contract, insurer, customer, and operational document registers. Identify documentation gaps, rate discrepancies, or recordkeeping issues and escalate them promptly.
- Variations Management: Monitor and administer variations, exceptions, special approvals, and non-standard job requirements.
- Stakeholder Engagement: Liaise directly with insurers, clients, repairers, internal dispatch, and depot staff regarding service requirements, authorities, and claims support. Interpret and explain documentation requirements to support operational compliance.
- Reporting & Improvement: Assist in preparing reports, reconciliations, and workflow summaries for management, and actively contribute to the standardization of our recordkeeping processes across all Harvey's sites.
What You Need to Succeed - Experience: Proven background in contract, operations, insurance, transport, or logistics administration. (Experience in the towing, fleet, or accident management sector is highly desirable!)
- Attention to Detail: Exceptional document control and recordkeeping skills with a proven track record of reducing errors and discrepancies.
- Communication Skills: Strong written and verbal communication, with the ability to collaborate effectively with multiple stakeholders across operations, admin, and external parties.
- Analytical Mindset: Experience reviewing quotes, service documentation, approvals, invoices, or claims-related paperwork.
- Tech Savvy: High proficiency in Microsoft Office and the ability to quickly adapt to internal business systems.
- Qualifications: A relevant tertiary qualification or industry experience in business, management, administration, or logistics is highly regarded.
- Integrity: A strong commitment to maintaining confidentiality and the proper handling of commercial, customer, and insurer information.
