Position Overview
Utopia Management is seeking a practical and reliable Building Coordinator to assist with the day-to-day operation, maintenance and presentation of a large residential and short-term accommodation property.
This is a hands-on operational role reporting directly to the General Manager. The successful applicant will take ownership of day-to-day building matters, minor maintenance, cleaning requirements, contractor coordination and general property issues.
Previous cleaning and repairs & maintenance (R&M) experience is essential.
Key Responsibilities
· Report directly to and work under the direction of the General Manager.
· Conduct regular inspections of common areas, amenities, car parks and building facilities.
· Identify and action maintenance, cleaning, safety and presentation issues.
· Undertake basic repairs and general maintenance where appropriate and troubleshoot minor building or equipment faults.
· Coordinate trades and contractors, provide access, monitor works and report progress or outstanding issues to the General Manager.
· Assist with preventative maintenance throughout the property.
· Maintain a high standard of cleanliness and presentation across common areas and amenities, including undertaking cleaning duties when operationally required.
· Assist Housekeeping with maintenance and presentation issues affecting short-term accommodation apartments.
· Respond professionally to building-related enquiries from residents, owners and guests.
· Identify and report building hazards, defects and safety concerns.
· Maintain basic records of maintenance, incidents and completed works.
· Take ownership of assigned tasks and follow them through to completion.
· Must be available after-hours building support, including responding to urgent calls, assessing issues and coordinating contractors or emergency assistance when required.
Essential Experience & Skills
· Previous cleaning experience, preferably within hotels, serviced apartments, commercial or residential properties.
· Previous repairs and maintenance experience.
· Strong hands-on and practical skills with the ability to undertake basic repairs and maintenance.
· Experience working with trades and contractors.
· Good problem-solving skills and the ability to work independently.
· Strong attention to detail and property presentation.
· Good communication, organisational and time-management skills.
· Ability to prioritise urgent maintenance and operational issues.
· Basic computer and email skills.
Highly Regarded Experience
· Building management, hotels, serviced apartments or facilities management.
· Housekeeping or commercial cleaning.
· General maintenance or handyman experience.
· Exposure to building services such as access control, CCTV, pools/spas, air-conditioning or fire safety systems.

· Comfortable completing physical tasks and working independently.
· Professional when dealing with residents, owners, guests and contractors.

Hours
The position can be offered on a full-time or part-time basis depending on the successful applicant and operational requirements. The successful applicant must be available 24/7 for after-hours building support, including urgent calls, assessing building-related issues and coordinating contractors or emergency assistance when required.
Purpose of the Role
The Building/Maintenance Coordinator provides practical, hands-on support to the General Manager and takes responsibility for routine day-to-day building maintenance, cleaning, contractor coordination and property presentation, helping ensure the building operates efficiently and is maintained to a high standard.
