Rightway Recruitment is currently partnering with a well-established mechanical contractor that specializes in HVAC, plumbing, boiler service, and fire protection projects across Western Canada. With a strong reputation in both construction and service, our client has built a stable and collaborative environment known for long-term employee growth, strong leadership, and consistent project work.
Due to continued growth within their service division, they are looking to add a Service Administrator to their Port Coquitlam office. This role plays a key part in supporting daily service operations, coordinating internal communication, assisting with invoicing and reporting, and ensuring smooth workflow between technicians, dispatch, clients, and the service team.

Key Responsibilities Service Coordination & Administration
- Process service work orders, quoted jobs, and internal billing
- Issue client invoices on a weekly and ongoing basis
- Maintain accurate job files and document control procedures
- Generate reports, quotes, and inspection documentation
- Support service scheduling and operational coordination
Financial & Administrative Support
- Manage accounts receivable follow-ups and overdue payments
- Issue purchase orders and review order confirmations
- Receive and reconcile monthly deliveries and orders
- Assist with internal reporting and administrative tracking
- Update equipment and service information within internal systems
Team & Client Support
- Provide backup support for dispatch and reception as needed
- Coordinate with technicians, vendors, suppliers, and clients
- Follow up on parts orders and delivery timelines
- Support preventive maintenance documentation and reporting
- Assist the service team with day-to-day operational needs
Project / Role Scope
- Supporting a busy mechanical service division handling HVAC, plumbing, boiler, and fire protection work
- Exposure to commercial, institutional, and service-related projects
- Involvement in service coordination, invoicing, reporting, and client communication
- Working closely with dispatch, estimators, technicians, and service leadership
What You Bring
- Previous experience in an administrative, service coordination, or operations support role
- Experience within construction, trades, or mechanical service is considered an asset
- Post-secondary education in Business Administration or related field is an asset
- Strong proficiency with Microsoft Office, particularly Excel and Outlook
- Experience with ERP systems such as Jonas is considered an asset
- Excellent organizational skills and attention to detail
- Strong communication and customer service skills
- Ability to multitask and prioritize in a fast-paced environment
- Self-motivated, proactive, and dependable
- Strong follow-through and problem-solving abilities

Compensation & Benefits
