The Role
We are looking for a strong administrator with exceptional attention to detail, organisation and ability to work autonomously as well as take direction within a team. This is a full-time position working for an established Senior Agent, who is also a Partner within our agency. This agent is looking for a 'career assistant', someone who loves the pace of a sales team but not wanting to do the cold calling.
Duties include, but are not limited to:
- Acting as the agent's "go to" and efficiently actioning all support requirements
- Diary organisation and scheduling on behalf of the agent
- Managing the compliance for the team
- Creating posts/reels and posting on social media for the agents and properties
- Extensive reporting and data entry using our CRM system - AgentBox
- Coordinating the marketing for the agent, including photoshoots, styling, floorplans and advertising
- Greeting clients, setting up meetings and developing presentations
- Ensure excellent standards of customer service both face to face and on the phone
- Create gift boxes and marketing collateral
- Arrange all mail and marketing paraphernalia
- Liaise with the marketing team on advertising property campaigns
- Assist in set up for auction nights
- Ability to manage high pressure and time-sensitive situations to help the agent get results
- Communicate any needs of the team to management/marketing/finance if necessary
- External liaison with solicitors and conveyances to chase legal docs
- Answering telephone calls and always managing client's expectations on behalf of the agent in a professional manner
- Take all inquiries and direct any messages in a timely and efficient manner
- Opportunity to enhance your skills and develop your knowledge across a wide range of systems and processes
- General office support and coordination - stationary/stock ordering, boardroom set up, greeting visitors etc.
- Attend weekly sales and team meetings
In order to be successful in this role, you will need: - Must have a Real Estate Certificate of Registration (legal industry requirement)
- Previous real estate experience (preferable)
- Exceptional organisation and prioritising skills
- Impeccable communication skills, both verbal and written
- Must work well under pressure
- Needs patience and enthusiasm to succeed
- Strong confidence - assertive yet professional and friendly
- Strong attention to detail
- Happy to manage lengthy admin and data entry duties
- Strong follow up skills
- Able to thrive within a professional and fast paced environment
- Corporate self-presentation
