The Office & Executive Operations Partner (11-month maternity cover) is a one-of-a-kind position, responsible for managing many different high-impact areas of our business. From end-to-end office management to executive support, specifically to the CEO, this position is one that requires a go-getter who's passionate about connecting people in the workplace through shared and meaningful experiences, events, vibe and next-level planning and organisation skills.
 
What you'll do:

• Provide end-to-end assistance to the CEO, while also supporting the broader executive team and handling highly confidential information
• Create and refine presentations, decks and documents, and maintain the contracts management system and database
• Manage day-to-day office operations end-to-end and act as the link with building management
• Partner with the business to meet office WHS obligations and oversee security processes, including working with IT where needed
• Be the go-to for office "vibe," stocking groceries, snacks and non-perishables and adding finishing touches to the office experience. Manage new starter swag and gifting for employee milestones
• Manage the Vibe & Facilities budget, including purchase orders, cost tracking, approvals and credit card reconciliation. Administer the corporate travel portal, set up travellers and assist with occasional bookings
• Plan, design and deliver an inclusive annual events calendar end-to-end, managing the budget, negotiating vendor pricing, and sourcing catering and supplies
• Build meaningful relationships with leaders and teams while role modelling Gumtree Group values, along with partnering with P&C on onboarding and ad hoc administration

What you'll bring:

• At least 4 years in a similar role, ideally in fast-paced corporate or tech scale-up environments focusing on EA support, office and events management
• Demonstrated experience working with an executive, delivering various Board needs, managing all facets of an office and its administration, with a strong understanding of the confidentiality required at HR and executive levels
• Experience partnering with or working in a P&C team, including community and purpose-driven events and communicating these via the right channels, including socials
• The ability to be a strategic partner who goes beyond a traditional EA, thinks critically, solves problems and thrives in a fast-paced environment with a can-do attitude
• The focus and ability to be detail-oriented, highly motivated and energetic, with a strong bias to action and enthusiasm for new projects and ideas
• Natural negotiation skills; you are comfortable managing budgets and identifying cost savings and areas for improvement
• Engaging written and verbal skills (the person others check their work with), plus the confidence to speak in front of groups and introduce events with energy
• Intermediate Google Suite (Slides, Forms, Sheets, Docs), Slack (polls, groups and setup) and Microsoft Office, with experience in contract management systems, CRM, HR systems, MailChimp, survey tools and socials highly beneficial
