Conveyancer located near Henley Beach is looking for a permanent Office Administrator to join the team.
Responsibilities
> Coordinate and carry out all office administration including reception, mail, couriers, greeting clients and filing.
> Maintain a clean and safe workspace, and abide by workplace health and safety policies and procedures
> Other tasks as directed
> Attend to daily banking of Trust Monies and Clients Banking
> Taking Messages and actioning any requests over the telephone and answering any client queries over the phone as required and or directing calls to the correct person in the office.
> Liaising with Real Estate Agents, Finance brokers, other professionals and clients assisting with enquiries as needed.
> Ordering Statutory Searches for Clients (Agents). Checking of the searches to ensure all correct searches are order as well as any additional that may be required. Answering any queries Agents may have with regards to the searches
> Checking of Conveyancing files and Forms files and making arrangements for the files to be billed by the accounts department and assist the Accounts Department with follow up of Invoices.
> Assisting the Conveyancer/s and other staff members in the office as required
> Maintain all spread sheets & Registers in the office
> Maintain and update position/employee manual.
> Maintain and utilise Task Lists for scheduling and managing workload.
> Sending out Confirmation of Registrations to Clients
> Closing and scanning files once settlement completed
> Maintaining Kitchen to ensure always clean and tidy an stocked up
> The position is not limited to the duties state above it should only be used as a guideline as the role may change from time to time as the office expands.
