Our client is a well-established specialist medical practice focused on providing highly specialised orthopaedic care across trauma, tumour, infection, and complex limb reconstruction cases. The practice works closely with referring doctors, hospitals, and multidisciplinary healthcare teams to deliver comprehensive patient care. With a reputation for clinical excellence and a growing patient base, the practice is continuously refining its systems and processes to support both patients and clinicians efficiently. The opportunity
This role offers an excellent opportunity for an experienced medical receptionist who enjoys working in a fast-paced specialist practice and being closely involved in the patient journey. The position is a hybrid role, combining front of house responsibilities with remote administrative support. While a portion of the work is conducted within the practice, certain administrative tasks may be completed remotely, provided the candidate has a reliable home office setup with stable internet, appropriate workspace, and the ability to maintain patient confidentiality.
The role will involve supporting the practice both in-person and remotely, assisting with scheduling, patient communication, medical administration, and coordination of procedures. From time to time, the role may include being "on call" over weekends to assist with urgent administrative queries or coordination, particularly when patients are being managed in hospital. These hours are not expected to be extensive and can be taken back as time off during the week, ensuring a balanced workload.
This position would suit someone who is highly organised, adaptable, and comfortable working both independently and within a small, dedicated clinical team.
Key responsibilities
- Welcome patients in a friendly and professional manner and manage front-desk interactions
- Answer calls, respond to emails and WhatsApp enquiries, and ensure messages are actioned appropriately
- Manage appointment bookings, diaries, and preparation of patient files for upcoming consultations
- Maintain accurate patient records and capture new patient information on the system
- Assist with obtaining results, referral notes, and related medical correspondence
- Liaise with theatres, bed booking departments, and allied healthcare providers regarding patient care coordination
- Provide patients with relevant information and forms for procedures, operations, and hospital admissions
- Obtain pre-authorisations for elective procedures
- Type dictated letters and reports
- Assist with stock control, ordering, and general office administration
- Support billing processes by liaising with the billing agency and communicating relevant queries to the practice
- Provide remote administrative support during on-call weekends when required
Requirement - Matric / Grade 12
- Minimum 3-5 years' experience in a medical receptionist role
- Strong knowledge of medical terminology
- Computer literacy, particularly in MS Office including Excel and Word
- Experience with medical billing software will be advantageous, ideally Vericlaim
- Knowledge of ICD-10 coding will be beneficial
- Exposure to medical practice management systems will be advantageous
- Fluent in Afrikaans and English
- Strong organisational skills, attention to detail, and the ability to multitask under pressure
- Professional communication skills and a polished, dependable manner
- Comfortable working both independently and as part of a team
- Able to adapt to new systems and help improve practice processes as the business grows
