ABOUT THE ROLE

We are looking for Executive PA/ Compliance Leader who will be responsible for the ISO 9001 quality management system and product compliance/approvals projects including system & compliance projects implementation, document control, nonconforming products, and quality management system & compliance audits. The Executive PA/ Compliance Leader also provides consultation and education for ISO 9001quality management system, and product approvals to ensure standardised system processes are implemented and standardised education is provided. Additionally, this role is responsible of assisting CEO on organising meetings, taking meeting minutes, managing additional internal projects.


Responsibilities and Duties:

Quality Management System responsibilities:

• Prepare Quality Management System implementation and/or improvement plan
• Leading ISO 9001 Quality Management System activities by coordination of improvement initiatives and implementation of best practice
• Providing help and/or advice on management system procedures and practice
• Planning and undertaking internal quality management system audits.
• Liaising with the top management team to deal with nonconformities and improvement initiatives
• Coordinating and participating in Management Review meetings
• Facilitating, supporting and managing planning and implementation of corrections, corrective actions and preventive actions
• Assisting on preparation of procedures and updating procedures and process documentation
• Promotion of the company’s process and risk-based approaches across operational personnel
• Organising, and hosting audits by clients and the certification body
• Organising, analysing and reporting customer satisfaction evaluation results
• Ensure documents are controlled, reviewed and updated.
  
  

Product approvals and compliance responsibilities:

• Manage and/or coordinate product approval projects: testing, certification.
• Ensure all products certifications and test reports are up to date.
• Prepare WELS renewal plan
• Submit for WELS registrations
• Ensure approval costs are at the minimum possible level
• Prepare approvals and compliance budgeting and the plan

Assistance to CEO and Project management responsibilities:

• Assist CEO and other employees on travel arrangements
• Manage and/or coordinate additional one-off projects assigned by CEO
• Organise monthly management meetings: distribute agendas and take minutes
• Distribute meeting outcomes and action plan
• Report on the meeting actions completion status
• Assist on developing/reviewing vision, mission, values, and business objectives
• Arrange some CEO’s meetings
• Proofread and edit documents assigned by the CEO
• Other daily activities as required to support CEO.

Recommended Qualifications:

• Degree qualified in a discipline with skills transferable to this role: such as Project management, Business management, Leadership, etc…
• At least 2 years of working experience in similar roles.
• Project management knowledge and experience
• Authorisation to work in Australia
• A natural leader, implementer, finisher, and team-worker, capable of taking responsibilities
• Work to clearly defined procedures
• Must be reliable, independent and can work well within a team
• Must have good keyboard and MS office program skills
• Fluency in English both orally and written.
• Confidence in taking the initiative and initiating communications to get a job done
• Knowledge of and experience with quality management systems
• Good experience with administration/implementation roles
• Attention to detail
• Good note taking and summarising skills.
