Your new role
Our Hays Sydney CBD office is currently seeking a full-time Personal Assistant to join our team on a 12-month parental leave contract, commencing mid-November 2025.
In this pivotal role, you’ll provide high-level support to our APAC CEO and Managing Director for Enterprise Solutions APAC, playing a key part in enabling their day-to-day operations. You’ll also have one direct report and be part of a dynamic, fast-paced environment.
This position is based in our Sydney CBD office and will be eligible for our flexible working policy. During your induction you will be expected to be physically based in the office in line with the schedules of your execs.
We’re looking for someone who is highly organised, proactive, and confident in managing executive-level support with professionalism and discretion.
Responsibilities
- Manage calendars and inboxes for senior leaders, ensuring smooth scheduling and communication
- Plan and coordinate internal and external events, including quarterly SLT/ELT offsites and the annual Hays EOFY and Enterprise Solutions conferences
- Handle end-to-end travel bookings and logistics, working closely with the travel management company
- Review and reconcile travel invoices fortnightly and monthly with the Finance team
- Process executive credit card expenses and coordinate KO payments with Payroll and Leadership teams
- Support internal communications such as All Hands calls, leadership updates, and newsletters
- Assist with filming, editing, and distributing internal video content for newsletters
- Format PowerPoint presentations for internal and external stakeholders
- Create and maintain reports using Power BI to support business insights
What you'll need to succeed
- Strong organisational skills and attention to detail
- Proven experience supporting C-suite or senior stakeholders
- Ability to manage multiple priorities and work to tight deadlines with a sense of urgency
- Proactive mindset with a strong sense of initiative
- Excellent communication skills, both written and verbal
- Confidence in managing travel, events, and internal communications
- Technical proficiency in Microsoft Word, PowerPoint, Power BI and AI Tools
