As the Portfolio Coordinator, we will empower you to think beyond, redefine standards and evolve the status quo. This is a full-time permanent role based in our Hays Adelaide office.
The Portfolio Coordinator plays a key support role in the effective and efficient management of the Projects, Change & Optimisation’s change portfolio. Reporting to the Head of Change and Optimisation APAC this position is responsible for coordinating and supporting the tracking, reporting, and optimisation of ongoing projects across the portfolio, ensuring alignment with strategic business objectives.
The Portfolio Coordinator will work closely with the APAC Projects, Change & Optimisation teams and the Chief Customer Officer and will play a key role in the management and support of projects, change and optimisation documentation and the teams share point & intranet sites.
Key Responsibilities include:
- Portfolio Management Support: Assist in the management of the project portfolio, ensuring projects are aligned with organisational strategy and objectives. Maintain up-to-date project status reports, timelines and risk assessments for the portfolio.
- Project Reporting & Monitoring: Support the tracking and reporting of project progress, change management ROI, ensuring accurate and timely reporting to stakeholders. Prepare regular portfolio updates, identifying key risks, issues and dependencies.
- Stakeholder Communication: Facilitate effective communication across all levels of the organisation, including senior leadership, project managers, and other key stakeholders. Aid in facilitating the development of business cases with operational owners and subject matter experts.
- Risk & Issue Management: Support the identification, assessment, and tracking of risks and issues across the portfolio and escalate critical issues to the Head of Change and Optimisation APAC.
- Data Management & Documentation: Maintain accurate records and project documentation, ensuring that all project-related data is consistently updated and easily accessible. Assist in the development of project dashboards and reporting tools.
What you'll need to succeed - Ability to analyse, report and present portfolio data at a project change and business leadership level
- Excellent active listening and communication skills, both written and verbal
- Ability to clearly articulate messages to a variety of audiences
- Ability to establish and maintain strong relationships
- Advanced skills in Microsoft office suite, in particular Teams, Outlook, Word, Excel and PowerPoint
- Excellent time management skills
- Flexible and adaptable; able to work in ambiguous situations
- A team player and able to work collaboratively with and through others
