Are you an experienced Executive Assistant who thrives in a fast-paced environment, enjoys working at the heart of an organisation, and takes pride in ensuring leaders are prepared, organised and able to perform at their best?
We are seeking a highly capable and proactive Executive Assistant to provide comprehensive support to a CEO while also coordinating Board and governance activities for a successful, Hamilton-based organisation operating globally.
This is a pivotal role that sits at the centre of the business, partnering closely with the CEO, Executive Leadership Team and Board to ensure priorities are managed, governance processes run smoothly and key organisational activities are delivered effectively.
About the Role
As Executive Assistant, you will provide trusted support to the CEO, managing a broad range of responsibilities including:
- Monitoring priorities, deadlines and action items
- Acting as a key liaison with internal and external stakeholders
- Supporting Executive Leadership Team coordination and communications
- Complex diary and schedule management
- Coordinating meetings, agendas, reports and executive documentation
- Managing domestic and international travel arrangements
- Organising executive events and stakeholder engagements
You will also play a key role in Board and governance administration, including:
- Coordinating Board meeting schedules and governance calendars
- Preparing and distributing Board papers and meeting packs
- Supporting Board meetings, minutes, resolutions and action tracking
- Maintaining governance records and documentation
- Coordinating Director onboarding and governance administration

What We're Looking For

- A proactive approach with the ability to anticipate needs and solve problems before they arise
- Proven experience supporting a CEO, executive team or senior leader
- Exceptional organisational and planning skills
- The ability to manage multiple priorities with confidence and professionalism
- Outstanding written and verbal communication skills
- Strong stakeholder management capability and executive presence
- Experience coordinating Board or governance processes
- Advanced Microsoft Office and digital administration skills
- High levels of discretion, judgement and integrity
- Experience with BoardPro or similar governance systems will be advantageous.
