London catering company seeks experienced Events Manager to lead planning, coordination & delivery of high-end events.
Job description overview
Managing the event delivery process from beginning to end, ensuring the client’s
needs are met from the tasting stage through to post event sign off. Working closely
with the sales team in the initial handover stage to ensure that the expectations of the
client are carefully understood and carried out. Taking full responsibility for placing
orders, producing required items lists, collating menus, allergen sheets and all other
administration associated with your events, while ensuring that you effectively
communicate information internally to allow each department to carry out their roles.
Producing profit and loss analysis for each event and working with the operations
manager to improve efficiency and service standards. Answering phones and assisting
with the initial sales process when required, striving to be professional and
knowledgeable about the company and the services we provide. We like to take a

we answer the phone.

• Ability to understand and help produce logistics schedules.
• Proficiency in word, excel, PowerPoint and a familiarity with Caterease or
other event/catering CRM system.
Key job roles
1. Supervise and coordinate high numbers of staff to effectively carry out tasks
and deliver catering services on events, in line with company standards.
2. Attend and contribute to weekly operations meetings to ensure your events
are organised and planned effectively as part of a wider schedule of events.
3. Assist in producing weekly logistics schedules that compile all top line event
information, including but not limited to: van allocations, loading times, driver
details, departure times, venue information and information on all appropriate
personnel.
4. Assist with the flow of communication through the business, ensuring every
department has the information they need well in advance, enabling them to
contribute their job roles to your events effectively.
5. Assist with the maintenance of the company inventory and help to manage
the stock control system alongside the BOH manager, providing updated
stock counts after every event.
6. Produce a profit and loss for each event and work with the operations
manager on maximising gross profit without compromising service standards.
7. Uphold company service standards and monitor client satisfaction by ensuring
that you habitually ask for feedback from clients and keep a record in the
company CRM (Caterease).
8. Take responsibility for all orders, required items lists and staffing associated
with your events. Communicate effectively with the operations manager and
BOH manager to ensure orders are placed on time and in the correct
quantities and that required items lists are assembled and packed in
accordance with the logistics schedule.
9. Produce accurate POs for all orders and assign a unique job number to allow
for effective profit and loss and organised finances.
10. Maintain up to date estimates for each event and communicate effectively
with the finance department, allowing them to produce accurate and timely
invoices.
