With the support of our sister brand iPantry our online market place delivers our products and our partnered brands to business and residential customers
Due to rapid growth both Fig and iPantry are on the lookout for personal and office assistants to directly support the team at our head offices and our Directors. Reporting to the Directors the personal and office assistant is responsible for a variety of operational administration for the Director and key senior appointments. The position provides high-level office support and involves confidential, high-level information as well as engagement with internal and external stakeholders. This is a diverse, hands-on role which requires professionalism, interpersonal skills and attention to detail.
Diary management & calendar coordination for Managing Director
Preparation for meetings including room bookings and set up.
Writing and formatting proposals and other documents
Liaising with various internal and external stakeholders.
Follow up and management of key development-related documentation and information
Reception based duties including but not limited to; answering reception door bell, greeting clients, answering and directing incoming calls.
Provide support to the office team; tasks include but are not limited to general administration duties (filing, archiving, inter-company processing, project reporting).
Undertake general office and reception duties (e.g. ensure office supplies are replenished and staff are adequately supported in their day-to-day office needs, troubleshoot photocopier, office equipment etc).
Technical competencies & attributes:
Minimum 2 years experience in administration, PA, EA or secretarial role.
Demonstrated high-level administration and organisational skills
Experience in dealing with confidential information, and demonstrated capacity to maintain confidentiality and professional standards of behaviour in difficult and sensitive circumstances
Well-developed liaison skills, including excellent communication skills with a range of public and private stakeholders
Excellent time management skills including working to deadlines, attending to detail at all times
Demonstrated writing skills and advanced MS Office skills
A proactive, collaborative mindset and demonstrated capacity to work independently and within a team environment.
