Our client is seeking a Executive Assistant to provide high-level administrative, coordination, and operational support to senior leadership, ensuring efficiency, discretion, and seamless day-to-day operations.
Key Responsibilities
Provide full administrative and executive support, managing daily priorities, schedules, and commitments
Serve as a key point of coordination between senior leadership and internal teams, clients, partners, and external stakeholders
Manage and filter correspondence, emails, and communications, ensuring timely follow-ups and responses
Oversee complex calendar management, aligning meetings with business priorities
Coordinate internal and external meetings, prepare agendas, and ensure required materials are ready in advance
Track action points, deadlines, and deliverables by coordinating with department heads
Support preparation of reports, presentations, performance summaries, and management updates
Handle confidential and sensitive information with the highest level of discretion and professionalism
Maintain organized and structured filing systems for contracts, reports, and operational documents
Support strategic initiatives, projects, and special assignments led by senior leadership
Assist in planning and coordinating management meetings, business events, and company initiatives
Identify opportunities to improve administrative processes and enhance operational efficiency
Anticipate needs, proactively manage priorities, and flag urgent matters requiring immediate attention
Support recruitment coordination by liaising with recruitment agencies and internal stakeholders
Schedule and manage interviews, ensure smooth communication, and maintain accurate recruitment records
Qualifications & Experience
Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting senior leadership
Strong organizational and time-management skills with the ability to handle multiple priorities
Excellent written and verbal communication skills
High level of professionalism, discretion, and attention to detail
Strong coordination and stakeholder management abilities
Proficiency in preparing reports, presentations, and maintaining structured documentation
Ability to work independently, anticipate needs, and solve problems proactively
