Role Purpose: The Executive Assistant provides high-level administrative and executive support to the Executive Director, Operational, Performance and Improvement Branch. The role is critical to ensuring the smooth and efficient operation of the executive function by managing administrative processes, coordinating schedules, and liaising with internal stakeholders.
A key focus of this role is complex diary management, meeting coordination, and travel and logistical arrangements.
- Short term contract - Start ASAP - 31 March 2026 possible extension
- $350-$450/day + super
- Working arrangement: Hybrid
- Office location: Milsons Point
- 8 max hrs a day, 40 hrs per week (no overtime will be paid – Less than 6 hours will be a half day) – if daily
Key Accountabilities
- Provide professional, high-level administrative and executive support to enable the effective management of the Executive Director’s operational responsibilities.
- Manage and coordinate the Executive Director’s diary, including competing priorities, meeting requests, travel arrangements, and related logistics.
- Monitor and manage email and telephone communications, ensuring timely responses and appropriate escalation.
- Organise and support meetings and conferences, including venue bookings, invitations, agenda preparation, and collation of supporting documentation.
- Arrange travel bookings, catering, and related logistical requirements (including lunches and off-site meetings).
- Exercise sound judgement, discretion, and confidentiality when handling sensitive, confidential, or politically sensitive matters.
- Liaise effectively with internal stakeholders to support operational efficiency and executive outcomes.

- Balancing responsiveness with effective prioritisation of executive requests.
Skills, Experience and Qualifications Mandatory
- Demonstrated experience in administration and executive support roles.
- Strong diary management, coordination, and organisational skills.
- High level of discretion and professionalism when handling sensitive information.
- Excellent communication skills, both written and verbal.
- Proven ability to manage competing priorities and deadlines.
Preferred
- Experience supporting an executive-level leader, preferably in the public sector, though private sector experience is also valued.
- Familiarity with complex organisational environments and governance processes.
Experience
- Experience commensurate with providing high-level executive support (no minimum years specified).
Stakeholder Engagement
- Internal stakeholders only, including senior leaders and business unit staff.
