Key Responsibilities:

1. Invoicing and Billing:
   
   • Generate, prepare, and distribute accurate invoices and statements to customers in a timely manner.
   • Verify invoice accuracy, ensuring proper pricing, terms, and supporting documentation.
   • Update and maintain the billing system to reflect current customer information and payment terms.
2. Payment Processing and Application:
   
   • Receive, process, and apply incoming payments (e.g., checks, ACH, wire transfers, credit card payments) to customer accounts accurately and promptly.
   • Prepare and make bank deposits, reconciling them with posted payments.
   • Process credit memos, debit memos, and refunds as authorized.
3. Collections and Follow-Up:
   
   • Monitor accounts receivable aging reports to identify overdue accounts.
   • Initiate proactive collection efforts through phone calls, emails, and mail to follow up on past-due invoices.
   • Negotiate payment plans and resolve payment discrepancies with customers in a professional and tactful manner.
   • Document all collection activities and communications accurately in the system.
   • Escalate uncollectible accounts to management for further action when necessary.
4. Account Reconciliation and Discrepancy Resolution:
   
   • Perform regular reconciliation of the accounts receivable ledger with the general ledger.
   • Investigate and resolve billing disputes, payment discrepancies, and customer inquiries promptly and efficiently.
   • Collaborate with sales, customer service, and other internal departments to clarify issues and ensure accurate billing and collections.
5. Record Keeping and Reporting:
   
   • Maintain accurate and organized customer account files and financial records, both physical and electronic.
   • Generate and analyze various A/R reports, including aging reports, collection forecasts, and other relevant metrics for management review.
   • Assist with month-end and year-end closing procedures related to accounts receivable.
6. Customer Service:
   
   • Provide excellent customer service by promptly and professionally responding to customer inquiries regarding billing and payment issues.
   • Build and maintain positive relationships with customers.

• High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred.
• 2-4 years of proven experience in an Accounts Receivable role or similar accounting position.
• Strong understanding of basic accounting principles and bookkeeping.
• Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle, NetSuite) and Microsoft Office Suite, especially advanced Excel skills (e.g., VLOOKUP, pivot tables).
• Excellent verbal and written communication skills.
• Exceptional attention to detail and accuracy.
• Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
• Problem-solving and analytical skills to research and resolve discrepancies.
• Customer service-oriented with strong negotiation and conflict resolution abilities.
• Ability to work independently and as part of a team in a fast-paced environment.
• High level of integrity and ability to maintain confidentiality of financial information.
