As the business continues to grow internationally, there is a need for an exceptional Executive Personal Assistant to support the CEO and senior leadership team.
Position Overview
This role provides high-level organisational, administrative, and operational support to the CEO and C-Suite team. You will act as the coordination hub that keeps executive priorities moving efficiently across multiple time zones, projects, and personal commitments. The position requires strong organisation, discretion, resourcefulness, and the ability to anticipate needs in a fast-moving international environment.
This role involves coordinating executive schedules, travel, research, personal administration, and operational support across both business and personal matters. You will be supported by teams across the business, including Accounting, Legal, Compliance, Marketing, and Business Development.
The role requires someone who is social and able to build relationships and engage with investors, while also being highly precise and detail-oriented across administrative, legal and accounting matters.You will assist with hosting clients, including securing the best tables at restaurants and venues when required. The role also includes supporting the marketing team with professional events for 100 to 300 clients, and participating in sports and social activities that we sponsor with clients and executives, including golf, sailing, padel, kitesurfing and other events.
You may also support or participate in charity and social initiatives associated with the business, particularly in Mauritius and South Africa. Success in this role requires strong organisation and attention to detail, but also a high level of emotional intelligence, discretion and sound judgment when interacting with executives, investors and partners.
Key Responsibilities
Personal Administration & Documentation
- Manage day-to-day personal administrative matters including insurance policies, memberships, and official documentation.
- Maintain organised records of key personal documents and ensure timely renewals where required.
- Coordinate KYC updates and compliance documentation with relevant institutions.
- Track vehicle administration including registration renewals, insurance, and servicing schedules.
- Schedule medical, dental, and other personal appointments.
- Monitor personal administrative deadlines and obligations.
Financial & Banking Coordination - Monitor personal banking activities and assist with payments and transfers.
- Manage online payments, billing arrangements, and recurring payment schedules.
- Maintain and update online payment methods where required.
- Track invoices and coordinate payments with relevant service providers.
- Liaise with accountants regarding personal or property-related tax filings and financial administration.
Travel & Mobility Coordination - Coordinate domestic and international travel including flights, accommodation, ground transport, and detailed itineraries.
- Manage visa applications, passport renewals, and other travel documentation requirements.
- Ensure all travel documentation and logistics are organised in advance and that travel plans run smoothly.
- Organise and attend international travel, often at short notice.
- Be prepared to travel internationally with the senior team when needed.
- Coordinate and accompany the senior team for extended travel across global destinations such as New York, Miami, London, Dubai, South Africa, and beyond.
- Arrange client dinners, meetings, and events associated with travel or business engagements.
- Ensure executives are fully supported throughout travel and related engagements.
Technology & Efficiency - Help and teach executives to adopt and use modern digital tools, applications, and AI platforms to improve productivity.
- Assist with managing digital files, shared drives, and organisational systems.
- Maintain well-structured digital records and documentation.
- Identify opportunities to streamline administrative processes and introduce efficient workflows.
- Be comfortable working across both Android and iOS environments.
Communications & Coordination - Manage complex executive calendars across multiple time zones including Mauritius, South Africa, USA, UK, Dubai, Singapore, and China.
- Coordinate meetings, investor calls, board discussions, and client engagements.
- Monitor and respond to emails where appropriate and flag priority matters.
- Track ongoing correspondence and ensure follow-ups are completed.
- Act as a trusted point of coordination between internal teams and external partners.
- Coordinate with service providers, advisors, and external partners on behalf of the executive.
- Maintain structured tracking of tasks, commitments, and deadlines.
- Provide high-level executive support to ensure senior leaders are fully prepared for meetings, engagements, and strategic priorities.
Research & Meeting Preparation - Conduct background research on individuals and organisations ahead of meetings or conferences.
- Prepare presentations, briefing notes, and PowerPoint decks.
- Compile relevant information on companies, sectors, or potential collaborators.
- Assist with preparation of talking points for conferences, panels, and professional engagements.
Property & Household Management - Coordinate routine maintenance and servicing for residential properties.
- Liaise with service providers including cleaning, pest control, water systems, appliance technicians, and general maintenance contractors.
- Schedule preventative maintenance and oversee follow-up on repairs.
- Maintain records of property service providers and contracts.
- Coordinate with accounting providers regarding property-related tax filings.
Home Projects & Improvements - Assist with sourcing and coordination for home improvement or refurbishment projects.
- Liaise with suppliers and contractors to obtain quotations and coordinate installations.
- Monitor progress of ongoing home projects.
Personal Sourcing & Lifestyle Support - Source and purchase personal items including clothing, gifts, supplements, and lifestyle products.
- Assist with meal planning ideas, recipe research, and grocery sourcing.
- Coordinate exercise schedules and wellness activities.
- Support general lifestyle organisation and optimisation.
Working Style - This is not a traditional 8:00 AM - 5:00 PM role.
- The position is priority and task-driven rather than clock-driven.
- Typical working hours may range between 10:00 AM - 10:00 PM, depending on global meetings and time zones.
- This does not mean working 12 hours continuously; there will often be gaps in the day for rest and personal time.
- The role offers flexibility and autonomy. You may work remotely or from home, but responsiveness, reliability, and strong organisation are essential.
Location - Candidates may be based in Mauritius or Dubai, with frequent international travel when required.
Experience
