Project Administrator
Immediate Start | Contract Role | Bundall, QLD
 
TRACKS Integrated Services is seeking a motivated and highly organised Project Administrator to provide administrative support to a dynamic team within a well-established organisation.
 
Contract Details:

• Start Date: ASAP
• Duration: Initial contract until 04/06/2026, with the possibility of a permanent role
• Hours: 38 hours per week (7.6 hours per day)
• Work Schedule: Standard business hours
• Work Type: Office-based

About the Role:

• Coordinate governance and project meetings, including:
  • Preparing agendas, invitations, and minutes
  • Collating documents and reports from stakeholders
  • Managing action logs and decision registers
• Support monthly reporting processes
• Maintain and update governance schedules
• Upload and manage documentation in shared systems
• Perform general team administration tasks (e.g. org charts, inbox management)
• Assist with event coordination (e.g. team functions, meetings)
• Manage office supplies, consumables, and catering
• Coordinate invoicing and goods receipting
• Support site operations, including visitor coordination and depot activities
• Assist with calendar management and scheduling site visits
• Provide support with claims processing and inventory coordination

What We're Looking For:

• Previous experience in an administrative role within a fast-paced environment
• Demonstrated administration experience
• Strong organisational and time management skills
• Intermediate to advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
• Experience using SAP (intermediate level)
• High-level computer skills and strong communication skills
• Strong communication and stakeholder management skills
• Ability to work independently with minimal supervision
• Flexibility and adaptability in a dynamic environment
• Current driver's licence (travel between sites may be required)
